Have you ever started a new job, gone through the onboarding process, and then realised that colleagues with 5, 10, or even 20+ years of experience don’t seem to know some of the basics?
Firstly, that isn’t necessarily their fault. Secondly, you aren’t alone.
Most businesses stress the importance of training at the beginning of someone’s tenure, but that focus can quickly disappear just a year or two down the line. That mentality is common across businesses and can lead to compliance issues, declining standards, outdated workflows and, worst of all, wasted time.
This isn’t another study quoting figures from the last financial year. These are problems our team has solved directly for businesses using RENT+.
We haven’t done that through software alone. Alongside our property management platform, we provide dedicated training sessions tailored to each user’s job role, responsibilities and use of the system.
Just like RENT+, our training is anything but an “off-the-shelf” experience. Everything is focused around your team, your processes, and your success.
With 45 years of continuous development behind us, it should come as no surprise that RENT+ has evolved considerably.
The simple question to ask yourself is: “Have our workflows with RENT+ changed since we first installed it?”
If the answer isn’t a glaringly obvious “Yes!”, we need to talk.
Still not convinced? Let’s look at some of the ways our team has already improved the day-to-day working lives of RENT+ users.
When “That’s How We’ve Always Done It” Costs Time
RENT+ can be many things. A manager, an administrator, an accountant and even an advertiser. But when it isn’t actively helping you complete a task, it can also become something much simpler: a filing cabinet.
We were approached by a long-standing RENT+ user with more than 15 years of experience using the system. Their concern was the amount of time being spent generating documentation, particularly statements and invoices.
Rather than simply suggesting a different feature, our team asked to see the process from start to finish. Within five minutes, the problem became clear.
The user was still following a procedure they had been taught when they first started using RENT+. The process itself had been superseded more than a decade earlier, but because it had always worked, there had never been a reason to question it.
From one short training session, we reduced a task that regularly consumed half a day to a process taking around 10 minutes across the entire portfolio.
The improvement did not stop there. With automatic saving and filing in place, previously generated documentation could also be located and resent far more quickly whenever a client requested another copy.
It is easy to assume that 15 years of experience means knowing every corner of RENT+ as though you had built it yourself. But long-standing knowledge can sometimes mean long-standing processes too. And if the software has changed, those processes should be changing with it.
From 800 Emails to Four Clicks
Communication is one of the most important parts of good business, and within the property sector, the volume of it can quickly become substantial.
Tenants want updates on maintenance. Landlords want to understand the performance of their portfolios. RMCs may need budget information to help plan for the year ahead. And that only scratches the surface.
For that reason, we are regularly asked how RENT+ can help users communicate more effectively, whether that means contacting one tenant, a specific branch, or an entire portfolio.
In one instance, a client needed to notify more than 800 tenants about an upcoming office closure.
Their existing process involved exporting a large contact list and then emailing each recipient individually. In other words, a considerable amount of copying, pasting, and repetitive administration.
Once our team had seen the process, the solution was simple.
From launching RENT+, every tenant could be notified in just four clicks. Each recipient received a professional, personalised letter complete with a bespoke signature, while a copy of the communication was automatically recorded against their account, and a BCC was delivered to the sender for extra peace of mind.
And if a recipient did not have an email address, RENT+ handled that too. Their letter was automatically prepared for printing and posting instead.
A task that could easily have consumed hours of repetitive work was reduced to four clicks of a mouse, all following one short conversation with our team. More importantly, the same process could then be reused across countless other day-to-day communications.
Expanding Without Starting Again
Growth is rarely as simple as doing more of the exact same process.
A lettings business might begin managing blocks. A property management company may expand into sales. New clients can bring different accounting requirements, maintenance responsibilities, inspections, documentation and compliance considerations that your team has never had to manage before.
And when that happens, one of the first assumptions is often that a new area of business requires a new piece of software.
Not necessarily.
We have had the pleasure of working with some of our clients for more than 20 years. During that time, many of them have grown considerably, taking on new projects and moving into areas of property management that may once have seemed outside their usual remit.
In some cases, however, there has been a misconception that RENT+ is primarily a lettings system. That assumption has led businesses to introduce additional software when the tools they needed were already available within RENT+.
Working across multiple systems can quickly create its own problems. Duplicate data entry, additional training, fragmented workflows and, of course, additional cost.
That is a story we have seen more than once.
With one of our tailored training sessions, we can show teams how RENT+ can be configured and used across multiple areas of property management, including Lettings, Block Management, Sales, Business Transfer and more, while also bringing together the Accounts, Administration, Maintenance and the day-to-day processes that support them
Sometimes expanding your business does require new tools.
Sometimes it simply requires discovering what the tools you already have can do.
